2020 Board of Directors Election

The Process: Due to the ongoing State of Arizona Covid-19 Executive Order restricting gatherings to less than 50 people and the uncertainty with regard to the duration of this restriction, the Board of Directors has determined that it would not be reasonable to attempt to plan our General Members Meeting and the in-person Board of Directors election on August 22, 2020. These unusual times call for innovative responses. The 2020 Nominating Committee has investigated various methods to hold the election. After considerable research the Committee determined that the simplest, most convenient, efficient and cost effective solution is an electronic ballot on the Pinewood Players web site. The process proposed is secure, able to validate membership and can automatically and accurately count the vote. The proposal was presented to the Board of Directors which unanimously approved. Simple instructions regarding how to vote on our web site are provided at the end of this email. We hope this quick, convenient process will encourage your participation in the election.

The Election: Bylaw changes passed last year mandated that the Board take action to achieve staggered Board of Directors terms such that no more than 3 Board positions will be up for re-election in any given year. The bylaw changes also provided that Board appointments, one year terms and third terms be allowed in order to achieve this objective. The Board is using all of these provisions in order to comply with the mandate. As a result, there are three vacancies on the Board and three candidates running for those vacancies.

The Board thanks Win, Les and Pam for their outstanding service to the organization. Pam and Les have served as President and both have served multiple terms on the Board. They both have gone above and beyond in their service and commitment to Pinewood Players.

How to Vote:
The voting will open at 8:00 am on Saturday, August 22 and will close on Sunday, August 23 at 8:00 pm.
NOTE: You must have been a member of Pinewood Players on July 22, 2020 to be eligible to vote in the 2020 Board of Directors Election. If you have received this email you were on the Official 2020 Membership list as of that date and are eligible to vote.

1) Go to www.pinewoodplayers.com and click on the Election tab in the main menu at the top of the Home Page. A log in page will appear.
2) Log in using the Voter ID and Voter Key provided to you. If you have a family membership with two email addresses provided for the membership both email addresses will be eligible to vote one ballot each. You must sign in with each unique email address separately in order to vote.
3) Mark the ballot for the candidates of your choice by clicking on the box in front of the candidate’s name.
4) Click the SUBMIT BALLOT button. You may then download a voter receipt and/or just exit the site.
